How to Build Your Wedding Vendor Database

Wedding Planing - 27 July 2018, By admin

You are only as good as the team around you. Sound familiar? It should as this is key to becoming a great wedding planner. Without your vendors it doesn’t matter how great your wedding planning skills are you won’t have a business. Your vendors are a direct reflection of your company and are the team that end up being the face of your business.

Before you even start worrying about clients you need to know that you have a team in place around you that can help you pull off a wedding that will be everything you’ve promised your client it will be. The people who can make that happen are your vendors. But how do you find that team? Who do you approach and how do you go about it?

The first thing you need to do is draw up a list of all the vendors you want to know more about and potentially introduce yourself to. A couple of the best places to start are probably The Knot and Wedding Wire. Then do your due diligence. Study their websites, read their blogs, check out testimonials and reviews, and generally find out as much about them as possible to see if they are the type of people or company you want to work with.

You then need to set yourself a goal to get yourself out there and introduce yourself to local vendors. It is all too easy to loose momentum and not actually take things any further. Make your goal realistic so you can actually achieve what you’re setting out to do and stick to it. But be warned, don’t just pop in off the street and see them make sure you take the professional route and call to introduce yourself first and set an appointment or a time to meet for coffee. Be mindful of their time as these are busy people with a l0t going on.

Also remember these are the people that could become your biggest source of referrals so you need to be prepared to answer their questions. Primarily the object of this exercise is to see if you want to do business with them, but remember they may want to interview you too so you need to be ready to answer their questions with confidence.

Finally you should give them a reason to want to work with you. Why should they want to be part of your team and why should they want to recommend you? Perhaps you are already working with someone you know they want to work with or maybe you have something in common like a hobby or kids at the same school. Whatever it is you need to figure this out before your meeting and be ready to sell yourself to them.

First impressions count so give your vendor meeting the same thought and consideration you would give a client meeting. Dress smartly and make sure you are well presented, bring plenty of business cards with you and for goodness sake turn off your cell phone. There is nothing more distracting or rude than sitting in a meeting with someone whose phone is constantly ringing.

And don’t panic! Most vendors are keen to meet with you if you are honest and up front with them about who you are, what you do and why you want to meet with them. Have confidence in your abilities and the services you are offering your client and take your destiny into your own hands by getting out there and making it happen.

If anyone has any tips they’d like to share with us on vendor meetings we’d love to hear them.
